Parent Volunteer Sign-Up

We Need Parent Volunteers!

We need parent volunteers to supervise dancers backstage. Parent volunteers are critical to everyone’s success and safety on the big day. Parent volunteers do not need to buy a ticket for the show. They are able to watch their child’s class perform from the stage. And we will send out digital recordings of each show. Parent volunteers will also be given early VIP access to buy show tickets. Event Location

The event is being held in the John W. H. Bassett Theatre in the North Building of the Metro Toronto Convention Centre, one floor down from street level.

The approximate runtime for each show is 90 minutes with no intermission. 

It is critical to have your dancer arrive at the theatre 1 hour before their show time.

New for 2025 – To reduce the amount of time dancers need to be at the theatre, we will not be running a dress rehearsal.

Ticket Sales

Tickets on Sale May 15th

Tickets will go on sale on May 15th and must be purchased online only. We will send out a link to purchase tickets closer to the date.
There will be no in-person ticket sales at the theatre. And there is no maximum number of tickets you can purchase.

Drop-Off & Pick-Up Procedures

  • Performers need to arrive at the theatre 60 minutes before their show time, wearing their uniforms, with their hair and makeup already done. Lineups at sign-in tables can get long and all shows will start on time.
  • Please note that dancers in Accelerated Ballet and Competitive classes who will be attending pre-show warm-ups should arrive 75 minutes before the show begins.
  • Please find the dancer check-in station outside and to the right of the main lobby doors. Staff will check your performer in and direct you to their assigned dressing room. ONE parent/caregiver will be permitted to accompany their child into their dressing area to help them change if needed and prepare for the performance. Fifteen minutes before the performance begins, all parents/caregivers will be asked to leave to take their seats in the theatre, and at that time all performers will be left under the supervision of their appointed class parent.
  • For all other guests, the auditorium doors will open 20 minutes before each showtime.
  • Following each performance, ONE parent or caregiver will be permitted to collect their child from their dressing area.
    *The performances will run for between 75 and 90 minutes straight through with no intermission. All dancers and audience members are asked to stay for the entire show.

Food

Please send your dancer with a packed nut-free and sesame-free lunch if they will be at the theatre for an extended amount of time. All dancers will need a water bottle which they will be able to fill at water stations in the dressing rooms and backstage.

Please do not bring sesame or nut products of any kind.

For before and after shows, there is plenty of indoor space inside the MTCC to eat.

What to Wear

Please have your dancer arrive dressed in their class uniform, with the appropriate footwear and tights (if applicable). Details of the class uniform requirements can be found on our What to Wear page. Costume embellishments will be provided at the theatre. If your dancer is performing with multiple classes in the same show, please make sure your dancer brings all of their uniforms, footwear, and tights needed for each class in the show.

Performance Hair Styles

Please send your dancer with their hair done in the following style for their class:

Ballet

All long-haired ballet students should have their hair in a ballet bun. HERE is a ballet bun tutorial for anyone making a bun for the first time. A hairnet is not mandatory, although it makes it easier. 

All Other Styles of Dance

  • Dancers of all genders with hair below chin-length may wear a slick, low ponytail with a centre part.
  • Dancers with short hair should have their hair brushed and styled in a way that is suitable for the stage.

If your dancer needs to change their hair style for another class in the same show, we will have staff available backstage to help get them ready for their next performance.

Makeup

Makeup is not required for performers under 10 years of age. Older dancers ages 10+ are encouraged to apply lip, cheek, and eye colour so that their features will not look washed out under the stage lights and will be visible in our performance videos. ALL performers need to remove nail polish (and toe polish for those dancing barefoot in Acro) and temporary tattoos before show day.

Competitive dancers: Please note that false eyelashes are not required for our June shows.

Show Day Checklist

  • Performance tickets must be purchased online in advance. We will not be selling tickets at the theatre. You do not need to print your tickets, simply have them ready on your phone to show the front-of-house staff upon entry.
  • Please double and triple-check that you have purchased tickets to the correct show. You can find the show assignments in your Parent Portal and on this page.
  • Flowers—flower orders will be available for pickup before the show start time (more info on flower orders coming soon)
  • Uniform(s)
  • Proper dance shoes & tights (if required) 
  • Sparkly earrings (Competitive dancers only)
  • Water bottle
  • Food
  • Laundry basket / Rac N Roll*
    *If your dancer is in more than one number, we suggest having them bring a laundry basket or Rac N Roll (if they own one) to the theatre to use as their own personal “locker.” This will help them contain and organize their belongings while in the busy dressing rooms.

Info for Parent Volunteers

Parent volunteers will be required to arrive at the theatre 75 minutes before the start of the show they are helping with. It will be their responsibility to make sure that all students in their assigned class have arrived and are in costume, ready to perform at least 15 minutes before the show begins. 

Parent volunteers will not be required to do hair and makeup, as performers should arrive at the theatre already prepared to go on stage. We will also have staff on hand to do any last-minute touch-ups if needed. Parent volunteers will be in charge of supervising their assigned class until it is their turn to dance and walking them to and from the backstage area at the specified times. As mentioned above, parent volunteers will not need a ticket to the show they are helping with. They will be able to watch from backstage and also enjoy the complimentary digital recordings that will be shared following the show weekend.

Each volunteer will receive an information packet when they arrive at the theatre, which will include all of the necessary details to ensure a smooth and safe event.

Please review the details below so you’ll have an idea of what to expect and what is required of you in this role. 

Arrival Times

  • Please arrive at the theatre 75 minutes before the show you are volunteering for begins. This will allow time to review your instructions and get to your designated dressing room by the time the performers begin to arrive. 
    • Show 1 begins at 1:30pm on Saturday, June 21 (arrive by 12:15pm)
    • Show 2 begins at 6:00pm on Saturday, June 21 (arrive by 4:45pm)
    • Show 3 begins at 11:00am on Sunday, June 22 (arrive by 9:45am)
    • Show 4 begins at 3:30pm on  Sunday, June 22 (arrive by 2:15pm)

Location

Parking

Upon Arrival

  • Follow signs to the lower level John W.H. Bassett Theatre lobby where you will check in at the volunteer parent table. You will be given a lanyard that will identify you as a class parent, as well as a clipboard with all of the information you will need. 

Responsibilities leading up to the show:

  • Please take note of any students with allergies/medical conditions in your group. If any of them have an EpiPen, please connect with them and be sure you know where it is. 
  • Take note of any students in multiple dances or with quick changes. This information will be marked on your class list. 
  • Make sure all dancers in your group have arrived. If by 15 minutes before the show begins you are still missing children from your group, please alert the dressing room manager.
    Please note: Dancers in multiple numbers go to their first class on arrival. This will be noted on your student list so you know exactly who to expect and when. 
  • Ensure the dancers are in uniform, with the proper shoes, tights, hairstyle, hairpieces, and costume embellishments. Please make sure that drawstrings on shoes are tucked in and that no underpants are visible under costumes.
  • If you have a dancer in your group who is in more than one number and has a quick change from one dance into another, they may need to pre-set their additional costumes and hair supplies in one of the backstage dressing rooms. Please approach one of our staff members to assist with this before the show begins. They may be identified by their staff shirts and/or name tags.
  • Make sure that all dancers have used the bathroom (especially young ones). Parents have been asked to do this with their own children before taking their seats in the auditorium because you will not be able to leave your group. Should a dancer need to use the bathroom during the show, please ask one of our designated “bathroom runners” to take them.

Once the performance begins:

  • The first 4 numbers in the show will begin lining up backstage. All other groups will remain in room 101 and should be prepared to head upstairs to the backstage area approximately 4 numbers before they dance. For example, if your group is number 8 in the performance running order, you would head backstage after number 4 has danced. There will be an LSDM staff member on a headset who will come to room 101 to let each class know when it is their time to head backstage. 
  • Once your group is backstage and has connected with their teacher, you should cross over to the opposite side of the stage to watch. You will need to use the crossover located behind the stage. Most dancers enter from stage right and exit from stage left. Once the dancers come off stage they should each get a medal. Please help to put one medal on each dancer and be sure to ask them if they have already received one (if they are in multiple shows/dances), as there are only enough for each performer to take ONE. If they already have a medal from dancing earlier in the show,  please take it off of them before they dance, hold onto it while they are on stage, and then give it back to them after they dance so that no dancer ends up with multiple medals.
  • At this point, you will return to room 101 and wait with your group until the show is over. 
  • While waiting in the change room, please keep your group together, as calm as possible, and occupied. There will be colouring supplies. 
  • Please note that there is no full cast Finale on stage at the end of the show, so once your group has performed they will not need to return to the stage again. 

Dancers in multiple numbers?

    • After your class performs, and you have returned to the dressing room, if you have any dancers in additional numbers, please help to change them into their next costume before bringing them to their second numbered area (which is in the same room).
    • For students with a Quick Change, please leave them backstage with one of our staff members before bringing the rest of your class back to the main change room in room 101. Those students with a quick change will be marked on your sheet.
  • Remember to send the dancers in your group who joined you for their second (or third, or fourth) number to return to their original class and parent volunteer before the end of the show to be picked up by their parents.

Following the performance:

  • Pick-up of all dancers will be from the main dressing room (room 101).
  • Once everyone on your list has been picked up, you may return your clipboard and lanyard to one of the tables at the designated lower-level “drop-off/pick-up” area. If any items get left behind, such as hairpieces, shoes, or water bottles, please leave them in the “lost and found” area with Corey at the Check-in station.
  • If you are left waiting for more than 15 minutes for a parent to pick up their dancer, please notify one of our staff members.
